近年来,就业难已是一个不争的事实,在求职季节,准备求职材料成了求职者最为重要的工作。求职信是求职者向用人单位自我推荐的书面材料,其交际目的就是“从读者那里得到反应”(Bhatia, 1993),例如一个邀请参加面试的电话。

体裁,又称“语类”或者“样类”,是一个古老而又年轻的话题,讨论远至两千多年前的亚里士多德,近至当代的功能语言学界和应用语言学界。Halliday (1978), Swales (1990), Bhatia (1993)和Miller (1984)等学者都对体裁作了系统和全面的定义。国内学者秦秀白(1997)将“体裁”进一步概括为“一种可辨认的交际事件,其显著特点是具有能被确认和理解的一整套交际目的”。体裁研究强调了交际目的的重要性,认为正是交际目的塑造了语篇的类型,确定了其内部结构,并且影响其内容和文体的选择。

商务英语是区别于其他文体的一种语言的变体,主要体现在目的和意义上,商业语言的最大特点是“目的感”(Ellis, 2004)。同时,商务英语还表现出七个特点,即“完整、简洁、具体、正确、清晰、体谅、礼貌”(陆墨珠,1998)。

国内外许多研究学者从体裁的语步角度对求职信作了研究。语步是语篇的一部分,每个语步为语篇内某一特有的交际目的服务(Henry&Roseberry, 2001)。步骤是语步的下属单位,是“为实现某一语步而联合在一起的”(Bhatia, 1993)。Bhatia (1993)对200封来英文求职信进行了分析,研究证明交际目的是区分体裁的重要指标。Henry和Roseberry (2001)在Bhatia研究的基础上,对40封以英语为母语的求职者写求职信作了研究,研究了求职信的语步和语言特点。他们认为“称呼,表明竞选资格,推销竞选人,礼貌收尾,签名”为必要语步,而其它语步为可选语步。Henry和Roseberry (2001)对每一个语步都作了具体说明,使得体裁的辨认有一定的可操作性。

国内也有很多研究者对这一特定语篇进行了分析和研究,例如张萍和孙晓娥(1999)、郑瑶菲(2005)、王明梅(2008)。但是纵观国内研究,不难发现:语料来源复杂,或者来源不详,少有学者在商业语境下对求职信进行个案分析,更鲜有学者对某一职位收到的求职信进行语步分析。本研究拟弥补这一空白。本研究采用Henry&Roseberry (2001)的理论框架,对中国人写的英文求职信进行语步上的分析,以期了解这一特定语篇的体裁结构和特点,帮助中国学生和求职者更好地掌握这一特定语篇的写作惯例,更好地实现交际目的。

二、研究方法

本研究采用定量分析和定性分析相结合的方法。笔者在国内某一知名猎头网上发布一虚拟职位:某一知名电信公司招聘总裁助理。在给定时间内,通过电子信箱,本职位共收到了451份简历和60份求职信,其中56封是英文求职信。笔者将此56封求职信作为本研究的语料库。在对样本进行分析后,笔者在Henry&Roseberry (2001) 12个语步的基础上,提出了本研究的十个语步(括号内为语步的缩写形式):1.opening (O)称呼;2.Greeting and Thanking (GT)问候和致谢;3.Referring to a Job Advertisement (AD)提及招聘广告;4.Personal Information (PI)个人信息;5.Offering Candidature (CA)表明竞选资格;6.Stating Reasons for Applying (RA)说明应聘原因;7.Promoting the Candidate (P)推销竞选人;8.Stipulating Terms and Conditions of Employment (TC)提及工作条件;9.Enclosing Documents (EN)提及所附材料;10.Polite Ending (PE)礼貌收尾。

三、语步的统计与分析

1.语步分析

笔者对56封英文求职信进行了具体的语步划分,区分了必要语步和可选语步,并将分析结果与Henry&Roseberry的研究结果进行对比,以期发现中国求职者在求职信撰写方面存在的特点。语步统计结果如下:

从表1来看,没有一个语步的发生率是100%,所以在本研究中所有的语步都是可选语步,无必要语步,这与Henry&Roseberry的研究结果存在显著差异。在Henry&Roseberry (2001)的研究中,O, CA, P, EN都是必要语步,“它们出现在所有的求职信里,因此被认为是必要语步”,并且,“很难想象一封缺少O, CA, P, EN的求职信会是一封有效的求职信”。现在逐一对这四个语步进行分析。

(1)称呼(O)

开头部分是求职者称呼招聘者,邀请其阅读求职信。求职信经常以“Dear sir/Madam”或“Dear manager”开头,但是在本研究中,有五封求职信分别以如下形式开始:

五封求职信中的四封以问候的形式出现,而没有称呼招聘者,显示了一定的“不礼貌”。第21封信无开头称呼,更无任何礼貌问候,而是直奔主题,说明自己应聘的职位,交际目的非常明显。

(2)表明竞选资格(CA)

在这个语步中,求职者明确表示自己有兴趣应聘某个职位。研究发现,48%的求职者没有在求职信里注明自己要应聘的职位。求职者以如下方式确立自己的任职资格。

1)说明自己对某个职位感兴趣。

2)询问。

3)直接陈述自己要评聘的职位。

(3)推销竞选人(P)

此语步被认为是所有语步中最重要的语步,它直接体现交际目的:求职者向招聘者展示自己的相关工作经验和能力,以期得到面试机会。在本研究中,超过一半的求职者没有在求职信里推销自己,而只是把求职信当作一个“便条”或者“告知书”,告诉招聘者他已经提供了简历。

(4)礼貌收尾(PE)

56封求职信中有三封无任何礼貌结尾,求职信戛然而止,整个求职信只有两个语步:“称呼”和“推销竞选人”。求职者罗列相关资格和能力,交际目的很突出。

2. 原因分析

通过统计数据发现,中国求职者在求职信撰写方面存在“不完整”、“不具体”和“不礼貌”三个显著特点。在十个语步中,没有一个语步是必要语步,中国人写的求职信在语步方面不完整,存在一定的缺失;作为最能实现交际目的的“推销”语步,在本研究的语料库中严重缺失,求职者没有具体的陈述自己的相关技能和能力,求职者无意通过求职信实现自己的交际目的;部分求职信缺少开头称呼和礼貌结尾,而只有推销语步,交际目的非常明显因而显得“不礼貌”。这种差异出现的原因可能跟求职者的英语能力有关,例如虽然应聘者普遍学历很高,但是英语运用能力尚欠缺;也可能是求职者知道在中国目前的商业背景下,人力资源经理或者猎头大多数是中国人,所以求职者对求职信的撰写缺乏重视,仅仅从形式上将其作为简历的告知书,而无意充分利用求职信来是实现求职目的;或者求职者一味追求求职目的,而忽略了开头称呼和礼貌结尾。所有这些结果和分析,显示了体裁在不同的文化和社会背景下的动态性和多样性。Bhatia (1993)认为,在具体实例中,即使是属于同一体裁的语篇,其内在结构和语言风格特点都还是会在一定范围内产生变化和差异。

四、结语

本研究以Henry&Roseberry (2001)的理论模型为基础,通过个案分析,研究商业语境下中国人的英文求职信在语步上的特点,展示了体裁的动态性和多样性,有一定的理论价值和应用价值。本文对这一特定语篇的研究尚刚刚起步,特别是对求职信语言特点的研究还不够深入,对招聘方对求职信的看法也没做过相关研究,所以还有待于进一步地探讨。

一、引言

在求职过程中,求职信作为沟通桥梁起着重要的作用,恰当的语言使用能够表现个人的交际沟通能力更能缩短写信者和读信者之间的距离,体现两者之间的互动关系并帮助求职者增加求职成功的可能性。这其中的交流过程就是语言人际意义实现的过程,而人际意义的实现离不开情态表达。情态是实现语言人际功能的一个重要因素。根据Halliday的系统功能语言学理论,语言具有三个基本功能,人际功能、概念功能及语篇功能。其中,人际功能指人们使用语言与他人交往,建立和保持人际关系,表达讲话者的能力表达讲话者的地位,态度,动机和他对事物的推断等功能(胡壮麟,2005)。它是通过语气和情态来实现的。关于语言人际功能中的情态系统的研究有很多,包含多种题材和类型,如:政治演讲,商务英语,新闻,广告,小说,日常对话等。这些研究从情态系统和人际功能的角度分析不同语篇,总结语篇的语言特征及某种语言特点在语篇中所起的作用。这其中也包括了对某些类型的英语商务信函的研究,如推销信、投诉信等,但对于求职信情态系统的研究目前还不多。本文将根据系统功能语言学对情态的划分,以职场中的求职信为材料,对求职信中的各种情态表达进行分析,试图从这些不同情态表达的使用中,找出它们在英文求职信当中的分布状况,值的分布状况从而揭示情态在求职信实现语言人际功能时的特征。

二、情态及其体现

不同的学者给予了情态不同的定义,但最为人们所普遍认可的则是Halliday所给的定义。Halliday(1994)认为,情态体现是介于否定和肯定两极之间的意义领域,体现了意义表达中的归一度。在情态的类型上,Thompson (1996)将情态分为情态及意态。情态涉及“信息”的“频率”和“概率”,意态涉及“物品或服务”的“义务”和“意愿”。在情态的表达方式上,在系统功能语言学中Halliday等人认为情态意义包括三个方面:情态助动词、情态附加语和情态隐喻。关于语篇情态表达的分析也就是对语篇中情态助动词、情态附加语和情态隐喻这三类表达的分析。情态意义的体现是由情态的取向来决定的,在情态系统中,情态表达的值有低、中、高三种量值,情态助动词,情态附加语和情态隐喻都有值的划分。

三、求职信的情态分析

通过对52篇求职信中的情态表达进行统计,情态表达的使用情况如下,情态助动词共计181次,情态附加语共计61个,情态隐喻共计119个。

1.情态助动词。通过整理和分析,在情态助动词使用方面,在信件中使用较多的是will,would,can,may,should和could这六个助动词,占助动词总数的95%以上。其中使用频率最高的为will,共出现64次,可表将来,也可以表示个人意愿。如:My qualifications will meet your requirements for this position with your company;另一个出现频率很高的助动词为would,共出现了52次,如:I wouldenjoy discussing my experience and qualifications in a personal interview,此句中would十分委婉并且礼貌的表达了求职者的意愿倾向。Can是在求职信中出现频率第三高的助动词,共计30次,可表示能力和允许。如:I am open to relocating anywhere,in the United States or internationally,and can begin full-time employment with one month’s notice,此句中can 表达了求职者能够开始全职工作的时间。May,should和could 这三个助动词在信件中出现并不多,分别为12次,9次和7次。从情态助动词的值来看,低值情态动词,may,can,could,might 共计51次;中值情态动词will,would,shall,should共计128次,而高值情态动词must和can’t只出现了两次。可看出求职信中、低值的情态动词占绝大多数。

2.情态附加语。情态附加语也是情态表达的一种重要形式,包括语气附加成分和评论附加成分,可表达情态当中的频率,概率,义务,意愿等。求职信中出现次数最多的是表达恳求的评论附加成分,表达程度和频率的语气附加成分。主要出现的附加语有please,always,no,quite,fully,fairly,greatly,surely等等。其中出现次数最多的是please,共计 21次,其次是always共出现了7次。如:This educational background and my experience certainly equip me to be an excellent teacher中的certainly强烈地表达了求职者对职位的自信;又如:Would you please consider my request for a personal interview to discuss further about my qualifications?中的please表达了求职者期望得到面试机会的诚恳。从情态附加语的值来看,高值情态的附加语共计34个,中值的出现23个,而低值的只有7个。可看出中、高值的情态附加语占大多数。

3.情态隐喻。除了助动词和附加语,情态还可以通过一些小句,短语和名词来实现,这就是情态隐喻。比如“I think it is going to rain.”就是一个隐喻,因为它是“it’s probably going to rain.”的变体,还有“I believe”,“it is obvious that”,“it is foolish to deny that”等等,都属于情态隐喻(Halliday,2000)。通过对求职信的分析,发现这些情态隐喻在求职信中的使用频率也很高,以小句形式出现的有51个,如:I believe that,I hope that 等;以短语形式出现的有54个,如:look forward to,be glad to,be willing to 等;以名词形式出现的有14个,如:interest,desire等。其中出现次数最多的是look forward to,共计18次,如:I look forward to hearing from you表达求职者对收到回信的期待;其次是I believe that,共计16次,如:I believe that my background qualifications and work experience are very compatible with the requirements of this position you listed in your advertisement表达求职者对自身能力的信心;I hope/wish that 出现11次,如:I hope thatwe will have the opportunity to discuss my experience and qualifications further during a personal meeting表达对同用人单位之间的进一步交流的期待。从情态隐喻的量值来看,高值表达有18个,中值表达有71个,低值表达有30个。其中中、低值的情态隐喻占绝大多数。

四、结论

本文通过对52篇求职信中的情态表达进行研究,对求职信中不同情态表达类型,情态助动词,情态附加语,情态隐喻的分布情况,以及不同情态表达的值进行分析,总结了在求职者为体现自己的能力实现自己的目标在求职时时使用了哪些情态表达从而揭示情态表达在求职信人际意义的实现过程中所发挥的重要作用。通过对求职信中不同情态表达的研究,从情态助动词,情态附加语和情态隐喻这三个方面综合分析,可以得出以下结论,各种情态表达在求职信中都有广泛分布且写信者偏向于采用中、低值的情态表达,因为情态意义可以影响语言的礼貌程度,这些中、低值情态的表达方式更礼貌对读信者也更加尊重,语言更为得体。这是和写信者和读信者的社会角色关系及权位关系是分不开的。写信者和看信者之间拥有不同的身份背景和立场,在这样的情况下,求职者作为提出要求者想要获得读信者提供的职位,就决定了求职者的角色要使用委婉,礼貌,得体的语言表达提出自己的意愿。而中值情态出现最多则有效避免了读信者因低值情态过多而产生的写信者过于谦虚和自己被过分讨好的不良印象,也避免了因高值情态过多而使读信者产生不被尊重和求职者过于自大的负面影响。

Diction, the choice of words, is the foundation of good writing.It can make a great difference in the effectiveness of a whole piece of writing.Just as the famous Roman philosopher put it:Using the right word at the right time is rather like wearing appropriate clothing for the occasion.The English language has over 700, 000 words, but only a small part of it is used by ordinary people for ordinary purposes.To choose the right words, we should use them to express exactly what we want to say.It requires a large active vocabulary, and a basic knowledge of diction may be of help.

In the perspective of word styles, words can be classified into three levels:formal, common, and colloquial.

Formal words may also be called learned words, or literary words.They mainly appear in formal writing, such as scholarly or theoretical works, political and legal documents, and formal lectures and addresses.

Common words are the words that people use every day and appear in all kinds of writing.

Colloquial words are mainly used in informal or familiar conversations.They are usually short words of one or two syllables and most of them are of Saxon origin (i.e., not borrowed from Greek, Latin, or French) , such as guts (meaning courage) , guy (man) , and hooker (prostitute) .

3.1 Introduction

Diction requires the economy of words:no clauses are employed when phrases are suitable;no phrases are chosen if a word is more desirable.To achieve a good diction, three principles-accuracy, clearness and conciseness must be paid attention to:

3.2 Accuracy

Accuracy means to choose the proper language symbols according to the context.As the English proverb goes:do not write so that your words may be understood, but write so that your words must be understood.Also the noted American writer Mark Twain once declared:The difference between the righ word and the almost-right word is as great as that between lighting and the lighting bug.

Accuracy, which is the careful conforming to truth or fact has three main aspects:Document accuracy, Stylistic accuracy and Technical accuracy (The Mayfield Handbook of Technica Scientific Writing, Section1.1.1)

Besides this, to choose words accurately, the writer should note the polysemy of words, the denotation and connotation of a word.Accuracy also can be reviewed through the analysis of abstract and concrete words.

3.3 Clearness

Clearness in writing consists in that you write what you wish to say in the spirit in which you wish it to be received, and in such a way that your reader gathers both the spirit and the facts without effort.

It is one of the good things about communicating ideas tha we can be always improving, sharpening up our wits so as to do the job better.It is sad to come upon someone who has thoughts that are worth-while, but who is not learning how to express them.Still more to be pitied are those who think that they have conveyed their ideas when they haven't.Note the examples:

Confusion:Jack went to school with his little brother, taking his satchel.

Clearness:Jack, taking his satchel, went to School with his little brother.

3.4 Conciseness

Conciseness means brevity and completeness, which has a high value in English writing:it helps us keep our writings down to a reasonable size and saves the readers'valuable time.

Expletives are phrases of the form it+be-verb or there+be-verb.Such expressions can be rhetorically effective for emphasis in some situations, but overuse or unnecessary use of expletive constructions creates wordy prose.Take the following example:"It is imperative that we find a solution."The same meaning could be expressed with this more succinct wording:"We must find a solution."In most cases, you can create a more concise sentence by eliminating the expletive opening, making the noun the subject of the sentence, and eliminating the relative pronoun..

3.Avoid overusing noun forms of verbs

Use verbs when possible rather than noun forms known as nominalizations.Sentences with many nominalizations usually have forms of be as the main verbs.Using the action verbs disguised in nominalizations as the main verbs--instead of forms of be--can help to create engaging rather than dull prose.

4.Omit repetitive wording

Watch for phrases or longer passages in your writing in which you repeat words with similar meanings.Below are some general examples of unnecessary repetition contrasted with more concise versions, followed by lists and examples of specific redundant word pairs and categories.

Wordy:I would appreciate it if you would bring to the attention of your drafting officers the administrator's dislike of long sentences and paragraphs in messages to the field and in other items drafted for her signature or approval, as well as in all correspondence, reports, and studies.Please encourage your section to keep their sentences short.

5.Replace circumlocutions with direct expressions

Circumlocutions are commonly used roundabout expressions that take several words to say what could be said more succinctly.We often overlook them because many such expressions are habitual figures of speech.In writing, though, they should be avoided since they add extra words without extra meaning.Of course, occasionally you may for rhetorical effect decide to use, say, an expletive construction instead of a more succinct expression.These guidelines should be taken as general recommendations, not absolute rules.
